Refund Policy.
Official English customer-facing policy published by 365 Luxury Car Rental L.L.C. Please save the policy version with your booking or payment record.
1. What this policy covers
This policy explains how the Company reviews potential refunds of rental payments and security-deposit balances. A cancellation is a request to end or withdraw a booking; a refund is the return of money after eligibility and the payable amount have been verified. Cancellation does not automatically mean that every amount is refundable.
2. When a refund may be due
A refund may arise from an approved cancellation under the accepted quotation, an agreed booking amendment, a duplicate or excess payment, a service that the Company confirms it cannot provide, an approved credit adjustment, or the remaining security-deposit balance after final reconciliation. Eligibility is determined from the quotation, agreement, payment record and supporting operational evidence.
3. How to request review
Contact the Company using the official email or telephone number and provide the booking or payment reference, payer name, amount, payment date and reason. Do not send full card details or card security codes. Additional proof may be requested to prevent fraud or return funds to the correct payer.
4. Review and calculation
The Company checks the booking status, accepted commercial terms, payments received, services supplied and any supported deductions. If only part of a payment is refundable, the calculation and reason are recorded. Owner-entered cancellation percentages, no-show charges, early-termination rules or fixed cleaning fees are not applied as public standard terms unless they appear in the customer’s accepted quotation or signed agreement.
5. Refund method and timing
Approved card refunds are ordinarily submitted back through the original payment channel where available. Bank, card-network, issuer and fraud checks can affect when the credit appears. Because the owner has not approved one universal processing timeframe, the Company will confirm the expected handling information for the specific refund rather than publish an unsupported number of days.
6. Security deposits
The security deposit is reconciled after vehicle return and review of the agreement, condition evidence and known charges. Supported deductions are itemised. Any refundable balance is processed using the agreed method after reconciliation. The owner has not approved one universal deposit-release timeframe, so the applicable handling information must be confirmed for the rental and must not be inferred from this website.
7. Disputes and contact
If a customer disagrees with a decision, the customer should provide the booking reference and identify the disputed calculation or evidence. The Company will review the transaction record and respond through the recorded contact channel. This policy does not limit mandatory consumer rights.
